The Role

Sinclair are currently recruiting for an Office Manager to join their Dubai office. The Office Manager’s role will be to manage the general upkeep of the office as well as liaising with HR and Facilities management.

The Office Manager will be required support HR and update HR Systems

The Office Manager will also be responsible for helping facilitate the office’s upcoming relocation to the Dubai Science Park

The ideal candidate will have office management experience as well as some experience with HR and Facilities Management.

Hours of work: Monday to Friday 40 hours

Location: Building No. 6WA, Office 501, DAFZA, Dubai, UAE

The Role

You will:

· Coordinate and manage daily office logistics

· Monitor and follow up office and admin related costs (i.e., courier, service providers, etc.), manage and track office projects (new office planning space allocations, layouts, etc), overseeing opportunities for cost saving

· Support Group FM with Facilities Management (i.e., security, pantry, and cleaning services etc.)

· Maintaining office facilities and equipment by assisting with procurement and routine maintenance HR Support-Coordination with Group HR Team for all HR related issues for the Regional Team

· Coordinate team meetings, annual meetings, travel arrangements with the Travel Agent (Visas, Hotel & Flight bookings for the UAE and Saudi Teams)

· Point of Contact for Sinclair’s workplace health & safety programs

· Due Diligence of all new partners and enlisting on the system

· Point of contact managing company registration and any legal entity related matters

· Taking minutes during meetings and following up on pending actions on behalf of Regional Director, scheduling meetings and act as point of contact on behalf of Regional Director if required

· Compiling administrative documentation to be revised and signed by Regional Director: HR/Accounts/Marketing forms/Expenses

· Ensure implementation & compliance of the SOPs (Leave & Airfare Policy/Expense and Travel Policy, etc)

Your Skills & Experience – Do You Have What it Takes?


o 5+ years of admin/ office management experience within multinational companies

o Successful track record in meeting deadlines
